By default, your AI Receptionist requires specific administrative contact information to handle internal correspondence and fallback procedures. Defining these details ensures that account-related communications reach the correct person. This article outlines how to establish your primary financial contact settings.

These administrative attributes remain strictly internal. Your virtual assistant will never disclose this contact information during customer interactions or reference it while speaking to callers.

Accessing the configuration area

  • Log in to your IONOS account.
  • Click on Menu > AI Receptionist in the title bar. The AI Agent Portal opens.
  • Click on Customer Portal under Actions for the desired receptionist. The Dashboard opens.
  • Click on Settings from the left-side menu.

Defining your administrative contact

For each value that you would like to adjust, you can search for it in the provided search field (Search by idn, title, group). To properly route administrative alerts, you must adjust three specific settings:

  • Search for project_business_top_owner_name to bring up the Billing Manager Full Name setting. Input the designated person's complete name.
  • Search for project_business_top_owner_phone to bring up the Billing Manager Phone Number setting. Type the direct line, ensuring you include the full country code (e.g., +12223334444).
  • Search for project_business_top_owner_email to bring up the Billing Manager Email setting. Supply the appropriate email address.
  • Click on Save & Publish All Changes to apply these settings to your AI Receptionist.

Distinguishing between contact roles

To understand how the system routes different types of messages, it is crucial to separate administrative addresses from operational ones:

  • Administrative correspondence: Handled by the project_business_top_owner_email setting for account-level alerts.
  • Operational escalations: Managed by the project_business_manager_email attribute located within the Agent Behavior settings. This secondary address is strictly responsible for receiving customer leads, post-call summaries, and forwarded messages.

Ensure both distinct fields are accurately populated for their respective purposes.
